As our company continues to grow, we're looking for a dependable and organized Administrative Assistant to help keep our office running smoothly while supporting our service, installation, and management teams.


Work Schedule

Monday–Friday
Typical office hours (full-time)


Pay

$22–$25 per hour
Pay based on experience.

Position Summary

The Administrative Assistant plays a key role in supporting the day-to-day operations of the office. This individual will assist with customer communication, scheduling, documentation, data entry, and general administrative tasks while helping ensure projects and service calls move efficiently from start to finish.

We're looking for someone who enjoys staying organized, can manage multiple priorities, and takes pride in providing excellent customer service.


Responsibilities

  • Answer incoming phone calls and greet customers professionally 
  • Schedule service appointments and assist with dispatch coordination 
  • Prepare, organize, and maintain customer and project documentation 
  • Enter and update information within company software systems 
  • Assist with invoicing, filing, and general office administration 
  • Support project managers, service technicians, and office leadership 
  • Communicate with customers regarding appointments and project updates 
  • Order office supplies and assist with miscellaneous office tasks 
  • Maintain organized digital and paper records 
  • Perform additional administrative duties as assigned 

Qualifications

  • Previous administrative or office experience preferred 
  • Construction, HVAC, service, or contractor office experience is a plus 
  • Strong computer skills, including Microsoft Office (Word, Excel, Outlook) 
  • Excellent organizational and multitasking abilities 
  • Strong verbal and written communication skills 
  • Professional phone etiquette and customer service skills 
  • Ability to work independently and as part of a team 
  • High attention to detail and accuracy 
  • High school diploma or equivalent
